How It Works
One production workflow. Two focused experiences.
Daily TimeCards connects a focused Crew submission experience with the Production tools needed to track, review, correct, communicate, report, and maintain the day from Prep through Wrap.
- Crew — Submit the day (No login required): Open the project link or scan the QR code; Fill out a Crew Timecard or upload required documents; Submit and receive confirmation
- Daily TimeCards — Connect and organize the workflow: Records incoming submissions against the project; Organizes information by department and work date; Applies the project's active intake rules
- Production — Oversee the day and maintain the record (Authorized users log in): Track what has arrived and what is missing; Review, correct, and communicate; Report, export, and retain project history
Two Sides
Two sides of the same workflow.
One production day, two connected experiences: Crew submits the work, while Production tracks, reviews, corrects, and carries the record forward.
For Crew, the workflow stays focused.
No login required
No Production Console login is required for the public Crew workflow. Crew opens the project link or QR code, fills out a Crew Timecard or uploads the required Crew production documents, submits, and receives a confirmation. When the project permits it, an eligible Crew member uses the public amendment workflow to correct a submitted record.
- Step 1: Project Link / QR
- Step 2: Crew Timecard or Crew Document Upload
- Step 3: Submit
- Step 4: Confirmation / Receipt
- Step 5: Eligible Amendment When Needed
For Production, every submission becomes visible work.
Authorized Production users log in
Authorized Production users log in to the Production Console, where incoming Crew information arrives as visible work. They see what has arrived and what is still outstanding, review records alongside production-day context, make corrections, communicate with the people who need to know, and report, export, and retain project history. Production Console access is granted only to authorized Production users, not to every project participant.

The Daily Production Workflow
The production day stays connected from intake to records.
Production prepares the project workflow, Crew receives the appropriate project link or QR code, and submitted timecards and documents are organized by project and work date as they arrive. While the project is Live, Production sees what has landed and what is still outstanding, reviews Crew records against production-day context, and handles corrections or amendments through the appropriate workflow. Notifications and summaries support follow-up, and reports, exports, Google Workspace records, and historical access carry the information forward.
- Stage 1 Prepare: Production sets up the project, departments, Crew, schedule, users, and workflow settings.
- Stage 2 Collect: Crew opens the project link or QR code and submits timecards and required documents.
- Stage 3 Oversee: Production tracks expected, submitted, and missing activity while the project is Live.
- Stage 4 Review & Correct: Times and documents are reviewed, and corrections or eligible amendments are handled in the appropriate workflow.
- Stage 5 Report & Retain: Reports, exports, Google Workspace records, and historical access keep the day available afterward.
Corrections stay inside the Daily TimeCards workflow rather than moving back to email or paper. Authorized Production users amend records internally and use Work Date Correction through the Production workflow. When a project allows it, an eligible Crew member can submit a public amendment, so the record is fixed where it lives.
Prep Through Wrap
The workflow changes when the production does.
What Crew and Production can do shifts as the production moves through its own stages, so intake, correction, and reporting always match where the project actually is.
- Prep: Original Crew Timecard submissions are not open. Production prepares the project, Crew, departments, schedule, users, settings, and workflow before the first shoot day.
- Live: Original Crew submissions are open under the project's active intake rules. Production monitors daily submission activity, including Expected, Submitted, and Missing information. Crew document intake operates under the active project rules.
- Post-Shoot: Original Crew Timecards are closed. Eligible public amendments can remain available under the project's configured amendment rules, and Crew Uploads may remain available during the controlled post-shoot review period according to the project configuration. Production retains review, correction, reporting, document, and historical workflows.
- Wrap: Public intake is closed. Authorized Production users retain access to project history, reports, exports, documents, notifications, and console records.
Information Becomes Production Records
Submitted information becomes an organized production record.
Individual submissions, production times, and corrections come together as one organized record for the project and work date, which is what communication, reporting, and connected records are built from.
- Inputs: Crew Timecards; Crew Documents; Daily Production Times; Corrections / Amendments
- These become one record: Organized Daily TimeCards Project Record
- Communication: Notifications; Daily Digest; Weekly Summaries
- Reporting: Reports; CSV; XLSX; PDF
- Connected Records: Google Sheets; Google Drive; Daily Production Record
- Continuity: Post-Shoot / Wrap Historical Access
Daily TimeCards supports production workflow, intake, review, correction, communication, reporting, notification, Google Workspace organization, and production record support. It is not a payroll provider, a wage calculation authority, a source of union-compliance advice, an employer of record, tax or legal advice, or a substitute for payroll or accounting review.
